Information We Collect

When you sign up for HTX Automations, we collect:

• Account information: your name, email address, phone number, and business name.
• Payment information: processed securely by Stripe. We do not store credit card numbers.
• Call data: phone call recordings, transcripts, and summaries processed by our AI system to provide the answering service.
• Usage data: call duration, frequency, and dashboard activity.

How We Use Your Information

• Provide and improve the AI receptionist service
• Process payments and manage subscriptions
• Send service-related communications (welcome emails, usage alerts)
• Monitor system health and prevent abuse

Third-Party Services

We use the following third-party services to operate:

• Stripe — payment processing
• Twilio — phone number provisioning and call routing
• Vapi — AI voice agent platform

Each provider has their own privacy policy governing how they handle data.

Data Retention

We retain call logs and transcripts for the duration of your subscription plus 30 days. Account data is retained for 90 days after cancellation. You may request deletion at any time by emailing us.

Security

All data is transmitted over HTTPS. Passwords are not stored in plaintext. Access to customer data is restricted to authorized personnel.
